EXW vs FOB vs CIF vs DDP: Which Incoterm Should Toy Importers Use?

When you import toys from China, the Incoterm decides where cost and risk pass from the factory to you. In short: EXW means you collect the goods at the factory door and handle everything after that; FOB means the factory delivers and loads the cargo onto the vessel at a Chinese port and you take over from there; CIF adds ocean freight and insurance to the destination port but leaves customs and duties with you; DDP means the seller delivers to your door with duties paid. For most toy importers, FOB is the safest and most transparent default, with DDP reserved for samples and very small air shipments.

What does each Incoterm actually cover?

Incoterms govern only three things: who arranges transport, who pays for each leg, and where risk transfers. They do not govern ownership, payment terms, or product quality. Those belong in separate clauses of your purchase contract.

Why is EXW rarely a good idea?

EXW always looks like the cheapest line in a quotation comparison, because it excludes the most work. It also transfers to you obligations you cannot practically perform from abroad. You must arrange domestic trucking inside China and handle Chinese export clearance, which requires a locally registered party. Your freight forwarder will add those steps back as separate line items, and the apparent saving disappears.

There is one sensible exception: when you already have a capable agent in China who can collect from several factories and consolidate everything into one container. In that setup EXW becomes a consolidation tool rather than a burden.

Why is FOB the default for toy programmes?

  • It draws a clean line: everything up to the ship's rail is the factory's problem.
  • You choose the carrier, so you see the real ocean freight instead of a number buried in the unit price.
  • It allows multi-factory consolidation through a forwarder's warehouse — important for toys, where one container often mixes plush, die-cast and plastic items from different suppliers.
  • It makes factory quotations comparable, because every quote is priced from the same point.
  • Toys are high-volume, low-density cargo. Freight is a large share of landed cost, so controlling it directly matters.

When do CIF and DDP make sense?

CIF is convenient for a first shipment when you have no forwarder relationship yet. The trap is that the freight component inside a CIF price is invisible and can carry margin. The bigger trap is at the other end: destination terminal handling, documentation and delivery order charges are collected from you locally, and they can be unexpectedly high when the seller books the cheapest possible carrier or a slow feeder service.

DDP is attractive because it is one final number. It works well for samples, small air parcels and buyers without an import department. The decisive question is: who is the importer of record? In many markets, including the GCC, the importer must be a locally registered entity with a commercial registration and tax number. If a third party's registration is used, you may not receive a customs declaration in your own name, you may lose the right to reclaim VAT, and conformity certificates may end up registered to someone else — which becomes a real problem when you later need them for a recall, a tender or a retailer audit.

What are the most expensive mistakes?

  1. Writing "FOB China" without naming a port. Always write FOB Shenzhen/Yantian, FOB Ningbo or FOB Nansha.
  2. Assuming CIF includes customs clearance. It does not, and it never has.
  3. Relying on the minimum insurance cover a CIF seller is obliged to buy. Printed toy cartons are moisture-sensitive; consider your own all-risks policy.
  4. Confusing the Incoterm with payment terms. Deposit, balance against a copy Bill of Lading, or a letter of credit — these are separate clauses.
  5. Omitting the rules edition. Write FOB Ningbo, Incoterms 2020.
  6. Accepting DDP without confirming whose name appears on the import declaration.

What should the contract say?

State the term, the named port and the rules edition. Then add separate clauses for the safety standard that applies to your market (EN 71 for Europe, ASTM F963 and CPSIA for the United States, GSO/SASO for the Gulf), pre-shipment inspection with a defined AQL level, packaging, barcode and carton marking specifications, UN38.3 documentation if any item contains lithium batteries, the export documents required (Commercial Invoice, Packing List, Bill of Lading, Certificate of Origin) and the cargo-ready date.

What is the difference between FOB and CIF in one sentence?

Under FOB the seller's responsibility ends when the cargo is loaded on the vessel at the Chinese port and you pay the ocean freight; under CIF the seller pays freight and minimum insurance to the destination port. In both cases import duty, destination charges and inland delivery in your country remain yours.

Does DDP mean I pay no duty at all?

It means the seller has included duty in the agreed price, not that duty disappears. Confirm before ordering that the import will be declared under your own or your agent's registration in the destination country, otherwise accounting proof, VAT recovery and conformity certificate ownership can all become complicated.

Which Incoterm should I use for my first toy order?

FOB in most cases, because it shows you the true freight cost and makes factory quotations directly comparable. If the order is a handful of cartons or samples, DDP by air is often simpler and faster in practice.

Can I change Incoterms between orders?

Yes, and many importers do. A common path is to start with CIF or DDP, then move to FOB once you have a forwarder you trust, because the saving grows with every additional container you ship per year.
